This document details the policy of The Lutheran Laypeople's League of Australia Inc. (LLL) in relation to the handling of personal and sensitive information.
We respect the privacy rights of all individuals, and are committed to ensuring that all directors and staff comply with their obligations under the Privacy Act. We are bound by the National Privacy Principles (NPP) as issued by the Privacy Commissioner.
Collection of Information
We collect most personal information direct from customers, employees
and Lutheran Church of Australia (LCA) members (clients). This may be
when clients open an account with us or deal with us over the telephone,
personally, in writing or via the internet or email.
On occasions we may also receive information about clients from a third party, especially if they are an office bearer of an organisation within the LCA.
Information Held
The LLL holds various information in relation to LLL depositors, borrowers
and members of the LCA where they hold certain offices within the LCA
eg LLL Representative, Parish or Congregational Treasurer, etc. This information
may include, but is not limited to:
- Full Name
- Home Address and/or Business Address
- Email Address
- Telephone contact details
- Sex
- Date of Birth
- Marital Status
- Tax File Numbers (as required for PAYG or TFN withholding tax purposes)
- Transaction History
This information is held for a variety of reasons including:
- providing clients with a product or service
- internal accounting and administration
- compliance with legislative requirements such as Australian Taxation Office obligations in relation to tax file number disclosure
- protecting clients and the LLL from error and fraud
- ensuring the correct distribution of relevant material to LCA office holders
Confidentiality
The LLL has a strict confidentiality policy which all LLL staff must
comply with, which ensures that all information is kept confidential.
No confidential information is released unless we are compelled by law
to provide the information to another party. The LLL does not sell,
rent or trade any personal information obtained from clients.
On occasions, we use external suppliers to provide us with products or services (eg computer software or hardware suppliers). In providing these products and services, these suppliers may have access to personal information, however we ensure that they safeguard this information, so that it remains strictly confidential and is not used for any unauthorised purpose.
Security
All information is securely stored. Only authorised personnel can access
information, for approved purposes.
Client information may be stored electronically or as hard copy (paper) documents. All premises containing this information are secure, and computer security includes the use of firewalls to protect from unauthorised access to LLL computer records and networks.
Website "Cookies"
A "cookie" is a small file held on a computer which records
information about visits to individual websites (eg date and time of
visit, browser used, web pages accessed etc).
When accessing the LLL website, we may use cookies to help identify the web browser used and previous access details. We will keep any information collected via cookies confidential, and will only use this information if it enhances the service provided to clients.
Users may disable the use of cookies on their computer by changing the settings on their browser. However they may find that access to some web sites is restricted if they disable the cookies option.
Up to Date Information
We attempt at all times to keep information correct and up to date.
If at any time a client believes that the personal information held
by us is not correct, they should contact us and we will correct our
records. A client may request details of personal information held by
us, by contacting the LLL Privacy Officer.
